Job Description

Sela V Hotel is looking for an experienced, hands-on Administrative Assistant to support the day-to-day administrative and operational needs of our restaurant and hospitality operation.

This is not an entry-level position and it is not primarily a receptionist or front-desk role. We are looking for someone who is highly organized, fast, accurate, comfortable working with numbers, and capable of taking responsibility for detailed administrative work from beginning to end.

A significant part of this position involves working with spreadsheets, invoices, vendor statements, employee hours, payroll information, records, and restaurant operating systems.

The right person should be able to look at a large amount of information, understand how the pieces relate to each other, identify missing or incorrect information, organize it properly, and follow through until everything is resolved.

For example, you should be comfortable receiving 30 invoices or a spreadsheet containing dozens of transactions, determining what belongs where, identifying discrepancies or missing information, organizing everything accurately, and following up as necessary without requiring constant supervision.
RESPONSIBILITIES:

- Review, organize, enter, and track invoices, vendor statements, credits, purchase records, and other financial documentation.
- Maintain accurate spreadsheets and administrative records.
- Review employee hours and timekeeping information and assist with preparing accurate information for payroll.
- Work with management, payroll providers, and accounting to provide requested documentation and resolve missing or inconsistent information.
- Maintain employee files and assist with onboarding paperwork, forms, and missing documentation.
- Communicate with vendors regarding invoices, statements, credits, orders, documentation, and follow-ups.
- Work with restaurant systems and reports, including POS and timekeeping information.
- Organize documents, emails, records, and follow-up items so that nothing is overlooked.
- Identify discrepancies instead of simply entering information that does not make sense.
- Handle confidential employee, payroll, vendor, and business information professionally.
- Manage multiple assignments simultaneously while maintaining accuracy and meeting deadlines.
- Work independently when appropriate while also coordinating effectively with restaurant management, chefs, accounting, payroll, vendors, and other team members.
REQUIRED QUALIFICATIONS:

- Previous hands-on office or administrative experience. This is NOT an entry-level position.
- Strong numerical skills and excellent attention to detail.
- Strong working knowledge of Microsoft Excel and/or Google Sheets.
- Experience working with spreadsheets, records, invoices, financial documents, or similar administrative information.
- Ability to work quickly without sacrificing accuracy.
- Ability to organize a high volume of information and understand what belongs where.
- Ability to identify errors, discrepancies, or missing information and follow through until they are resolved.
- Ability to work independently and complete assignments without constant supervision.
- Strong organizational, communication, and follow-through skills.
- Two professional references from previous employers or supervisors will be required before final hiring.
PREFERRED EXPERIENCE:

- Toast POS experience, particularly employee records, time entries, reports, or back-office functions.
- Payroll and/or employee timekeeping support.
- Vendor invoice and statement reconciliation.
- Restaurant, hotel, or hospitality administrative experience.
- Employee onboarding and HR documentation.

IMPORTANT:

This position is not primarily reception, answering phones, or calendar management.

Candidates whose experience is primarily front-desk or reception work without substantial hands-on administrative experience involving numbers, spreadsheets, records, invoices, payroll/timekeeping information, or similar detailed office work are unlikely to be a fit.
